Avoid delays: Proper mail addressing procedures for department mail

Virginia Tech Mail Services handles mail and package delivery for the Blacksburg campus, Roanoke facilities, Virginia Tech Research Center in Arlington, and Academic Building One in Alexandria. To ensure timely and accurate delivery, all mail and packages must be properly addressed with your Department Name and Mail Code.

Important reminders:

  • Updated Mail Codes: Some Mail Codes in the Washington, D.C., area have changed with the opening of Academic Building One. Please verify your department’s correct Mail Code.

The U.S. Postal Service’s Zip+4 system helps pinpoint delivery locations. Similarly, Virginia Tech Mail Services relies on Mail Codes to ensure precise delivery, especially for departments with multiple locations. Mail Codes serve as a fixed reference, avoiding confusion caused by name changes, staff turnover, or address updates.

Mail Code structure for the greater Washington, D.C., area:

  • Academic Building One in Alexandria: Mail Codes begin with 4 (4XXX)

  • Virginia Tech Research Center in Arlington: Mail Codes begin with 3 (3XXX)

Action items for faculty and staff in the greater Washington, D.C., area:

  • Update your work address in Hokie Spa to include your assigned Mail Code for where you want mail delivered.

  • Work with your Human Resources representative to make updates in Banner to include your assigned Mail Code.

Avoid mail delivery delays

Do not address mail with just your individual name. Always include your Department Name and Mail Code to prevent missed notifications and processing delays.

Additional guidelines:

  • Outgoing mail must be correctly addressed and include a transaction card for metering on the Blacksburg campus. Metering services are not provided at the other facilities, and outgoing mail must have proper postage. 

  • Temporary moves or renovations? Notify Mail Services in advance to arrange temporary mail forwarding while keeping your permanent Mail Code active.
