Transition of mail services for the Northern Virginia Center closure

The purpose of this notice is to outline the upcoming changes to mail services resulting from the closure of the Northern Virginia Center (NVC) on Dec. 20, 2024. These changes are designed to ensure a smooth transition of mail services to the Academic Building One at Alexandria location, while maintaining accurate and reliable mail distribution for all departments.

Key Updates

  • Mail service at NVC ends Dec. 20, 2024: This will be the final day for receiving and processing mail at the Northern Virginia Center.

  • Mail for those relocating to Arlington: Will be forwarded to Arlington starting Dec. 21, 2024

  • Mail service resumes Jan. 2, 2025, in Academic Building One at Alexandria: Beginning this date, all mail will be processed and distributed from the Alexandria facility for departments relocated to Academic Building One. The mailroom will be operational that week.

  • Temporary mail redirection:

    • Mail will be held for departments transitioning to Academic Building One in Alexandria until Jan. 2, 2025.

As Virginia Tech’s facilities are classified as business addresses by USPS, individual Change of Address forms cannot be submitted. Mail Services is working closely with USPS to coordinate this transition effectively.

Action required

To ensure the accuracy of mail services during and after this transition, all departments are required to complete the following steps:

  1. Review and update the Alphabetical Mail Code Directory:

  2. Notify contacts and vendors of your new address:

    • Departments and individual faculty/staff members must inform external contacts and vendors of their updated mailing address using the directory information.

  3. Update HokieSpa and Banner records:

    • Faculty and staff must update HokieSpa with their correct primary work location address.

    • Departments (through HR representatives) must ensure Banner records reflect the new address for each faculty and staff member.

Why this matters

Accurate address updates will ensure seamless mail distribution for all departments and locations, including the Virginia Tech Innovation Campus and the Virginia Tech Research Center.
