Panopto update: Migration of Kaltura videos

A key step in the university’s adoption of the Panopto video content management system — the migration of videos stored in Kaltura or a Canvas My Media space through March 31, 2026 — has been completed. Owners of these videos will now see a copy of their files in their Panopto “My Folder > Kaltura migrations” folder. Every effort was made to move all video content stored in Kaltura to Panopto. A small number of older, unplayed videos and incompatible or corrupted files were not migrated. 

Technology-enhanced Learning and Online Strategies (TLOS) has developed answers to some anticipated questions users may have as they learn to use Panopto.

What should users do before June 30, 2026?

Faculty and staff should log in to Panopto using their Virginia Tech username and passphrase at virginiatech.hosted.panopto.com and confirm their videos have been moved. Only a user’s “owned” videos will be visible in the “Kaltura migrations” folder. Canvas users can also access their videos by selecting the Panopto Video icon in the Canvas global navigation menu.

Student users will access Panopto through Canvas by selecting the Panopto Video icon in the Canvas global navigation menu.

Where are the Kaltura videos created on April 1, 2026, or after?

Videos created from April 1, 2026, through May 17, 2026, will be migrated after Kaltura transitions to read-only status on May 18, 2026. TLOS will alert users when this migration is completed.

Some of the Kaltura videos aren’t in the Panopto “My Folder.” What should users do?

Only videos owned by users were moved to their Panopto “My Folder” during the migration. Users should check their Kaltura list to see whether the missing videos have been shared with them. If users are designated as a co-editor, co-publisher, or co-viewer, the video was migrated to the owner’s Panopto account. Users will need to contact the video owner to regain access to these videos. If the missing video was not shared, see “What should users do if an important video is missing?” below. 

Where are users’ Kaltura videos that were shared with them?

Only videos owned by users were moved to their Panopto “My Folder” during the migration. Videos with users designated as a co-editor, co-publisher, or co-viewer were migrated to their owner’s account. Users will need to contact the video owner to regain access to these videos.

What should users do if an important video is missing?

If the missing video was created and stored in Kaltura or a Canvas My Media space by March 31, 2026, submit a 4Help incident with the video's name and the Kaltura URL. Videos created and stored on or after April 1, 2026, will not appear in Panopto until the final migration is completed in late May.

When should users with embedded or linked videos begin updating links to point to Panopto files? 

Kaltura videos embedded or linked in Canvas courses will be relinked as part of the migration process. Video owners will be notified when the relinking process is completed. Please note that in places such as Canvas Pages, where videos are relinked, instructors may notice that there are edits made by the “Panopto Linking Tool,” our relinking tool.

A similar process to relink videos embedded in the Ensemble web content management system is being implemented. Ensemble content managers will be notified when the relinking process is completed.

Users who manage other digital content that embeds or links to Kaltura videos will need to update links to new Panopto versions of those videos on websites, digital documents, or other content management systems. That work can begin as soon as users see the migrated videos in Panopto.

What should instructors teaching during Summer Session 2026 do?

All Summer Session 2026 Canvas courses will use Panopto for video content. 

TLOS prioritized the relinking process for 2024 and 2025 summer courses with embedded or linked videos. These courses are ready to be copied.

What is Panopto?

To meet the evolving needs of faculty, staff, and students, Virginia Tech selected Panopto as the university’s new video content management system (VCMS). Panopto is replacing Kaltura and will provide interactive video, lecture capture, streaming media, mobile compatibility, video storage, and integration with other Virginia Tech tools like Canvas and Zoom. Enhanced features include audio descriptions, a video analytics dashboard, and customizable system settings. 

What’s next?

As with all transitions to new tools, some workflows will change as the move to Panopto is completed. While Panopto has proven to be an intuitive platform, some questions remain unanswered. For example, TLOS is working to clarify how migrated playlists are assigned to users, and how faculty can replace the “course gallery” workflow in Panopto. The Panopto VCMS Transition page and the Using Panopto at Virginia Tech article will be updated as guidance on these topics is developed.
