Plan for Microsoft storage changes at Virginia Tech

New storage plans for employees take effect June 30, 2025.

Virginia Tech has modified its plan for Microsoft storage changes to allow for more straightforward and efficient storage management for users and departments.  

A detailed outline of upcoming storage changes for each user group is available on the Microsoft storage changes website. A summary of the updated plan is below.

Baseline storage allocations increased for employees 

Employees will receive baseline storage allocations in Exchange Online and OneDrive, which can be increased as needed. For most employees, the baseline is 50 gigabytes (GB) of OneDrive storage, and 50 GB of email storage in Exchange Online, with an additional 1.5 terabytes of email archive storage. Employee storage plans take effect June 30, 2025. See the employee information page for details.

Storage caps for students and retirees remain largely unchanged 

Students will receive 10 GB of OneDrive storage, and 5 GB of email storage in Exchange Online. Retirees will receive 5 GB of OneDrive storage, and 5 GB of email storage in Exchange Online. Storage caps for students and retirees take effect June 2, 2025.

Revised timeline for shared resource claiming 

Microsoft 365 shared resources (Teams, SharePoint sites, M365 Groups, Viva Engage communities) must be claimed by a department to remain active.

Please be aware of the following dates: 

  • June 2, 2025 - Unclaimed shared resources become read-only 
  • June 30, 2025 – Access is removed for unclaimed shared resources
  • July 14, 2025 – Unclaimed shared resources will be deleted

Please contact your department’s IT group if you have any questions related to the process for claiming shared resources.  

Student and retiree-owned shared resources

Student- and retiree-owned shared resources will become read-only on June 2, and deleted on July 14, unless the resource(s) are claimed by a department and ownership is reassigned to an employee.  

If you work with students and/or retirees who own shared resources that contain departmental data, please work with them to reassign the owner role to an appropriate current employee. Students and retirees are advised to copy data currently within their shared resources to another platform to avoid losing the data.
