What you need to know about moving to Zoom Phone

From: Division of Information Technology, Network Infrastructure & Services

As our rollout of Zoom Phone continues across campus, new Zoom Phone users are being added in phases at the end of each month. This process will continue between now and the end of May 2024, and depends on a department-by-department signup process.

Department Service Managers can decide when to submit the move request for each user in their department.

If you are unsure who the service managers are for your organization, you can identify them here by entering your department name or six-digit Banner organizational number (org number) in the search field at the top of the page.

This phased process is meant to ensure that changes happen gradually, and that user questions and any technical issues that emerge are resolved quickly.

University employees are encouraged to talk with their service managers to find a time for their phone to be migrated when it least impacts their operations. Migrations at the end of the fall semester are highly recommended.

Beginning Oct. 25, 2023, all new voice services will be provisioned in Zoom Phone rather than Avaya. However, we will continue to support existing Avaya phones until May 2024, when the migration to Zoom will be complete for all Virginia Tech extensions.

Additional information to assist departmental service managers with migrating voice services can be found on the Voice Service Migration Procedures page.

What should I do to prepare?

  • Please review the Zoom Phone Guide and Zoom Phone Migration FAQs for help with forwarding numbers and additional information.
  • Zoom Phone is an app that works on the same familiar platform that you already use for meetings and webinars. Once a user is migrated to Zoom Phone, they will see a phone icon added to their top bar on Zoom. The app is intuitive to use, and can work with Bluetooth or plug-in headphones or handsets if desired.
  • If the Zoom app is already installed, nothing additional has to be installed for Zoom Phone.

Contact Centers and custom integrations are on a different timetable, and changes will be coordinated individually with each department or group.

There’s no need to worry about being left behind — over the coming months all users on each of Virginia Tech’s campuses will move to Zoom Phone. For any questions, please reach out to the Network Infrastructure & Services (NI&S) Customer Service team at cssnis@vt.edu or 540-231-2800.
